Key takeaways
- Service management software covers the whole service business: enquiries, bookings, job cards, technicians, AMC contracts, parts, billing and customer updates.
- Demand for service is rising with India's installed base: 12.5 million room ACs were sold in FY2025 alone, and each needs regular servicing.
- India's FSM software market is growing about 16% a year, faster than the global average, as small businesses digitise.
- Choose one system that links enquiry → job → invoice → payment. Switching between disconnected tools is where money leaks.
What is service management software?
Service management software is the operating system for a business that sells service, not just products. It tracks the whole customer journey:
- Enquiry or booking: a call, a WhatsApp message or an online booking.
- Job card or work order: what needs doing, for whom, and by when.
- Assignment: which technician goes, or who works on it at the bench.
- Execution: observations, action taken, parts used, photos and status.
- Billing: quotation, GST invoice, payment collection and receipts.
- After-care: warranty, maintenance contracts, renewals and the next visit.
In ITSM (internal IT help desks) the “” is an employee. Here the customer is paying, the work involves physical equipment, and a missed visit costs you a renewal.
Who needs service management software?
| Business type | Typical work | What matters most |
|---|---|---|
| AC & appliance service | Installation, gas refill, breakdown calls, AMC visits | Seasonal peaks, AMC scheduling, technician dispatch |
| RO / water purifier service | Filter changes, periodic servicing | Recurring visits, parts stock, renewals |
| Computer & IT hardware | Carry-in repairs, on-site support, office AMCs | Job cards, parts, contracts with businesses |
| CCTV & security installers | Site surveys, installs, maintenance | Quotations, project billing, service visits |
| Electrical & solar | Installations, inspections, repairs | Site jobs, materials, GST invoicing |
| Printer & office equipment | Toner, repairs, rental servicing | Contracts, meter readings, recurring billing |
| Medical & lab equipment | Calibration, preventive maintenance | Service history, compliance records |
The market in 2026: why now
More equipment means more service. ICRA reported that India’s room AC sales hit a record 12.5 million units in FY2025, after 20–25% growth. ICRA then expected FY2026 volumes to dip after an unusually wet summer. Either way, the installed base keeps growing, and every unit needs installation, servicing and repair for years.
Software adoption is following. MarketsandMarkets puts India’s field service management market at US$339.6 million in 2025, reaching about US$726 million by 2030. That is a 16.4% annual growth rate, ahead of the global average. Globally, Global Market Insights sizes the FSM market at about US$5.5 billion in 2025, growing around 16% a year.
Two more forces matter. Customers expect communication on WhatsApp: India has more than 500 million monthly WhatsApp users. And GST compliance is tightening: from April 2025, businesses with turnover of ₹10 crore or more must report e-invoices within 30 days or lose the ability to generate them. Disconnected tools make both harder.
The core modules of service management software
1. Leads, enquiries and bookings
Capture every enquiry, from phone, WhatsApp, walk-in or an online booking page, with what the customer needs and when. Convert it to a job in one step so nothing gets retyped.
2. Job cards and work orders
One record per job, with customer, product, serial number, reported issue, assigned technician, status, observations, action taken, parts and photos.
3. Technician management
Assign jobs, see each technician’s workload, control what each role can see, and let technicians update jobs from their phones.
4. Contracts and scheduled visits
AMCs and service contracts with automatic visit planning and renewal reminders. See the next section.
5. Inventory and spare parts
Track stock and serial numbers, deduct parts used on jobs, and record purchases from suppliers.
6. Quotations, invoices and payments
GST quotations and invoices generated from jobs, with split payments (UPI, cash, card), payment reminders, credit notes and delivery challans.
7. Customer communication
WhatsApp and email updates at key moments, and shareable links to quotations, invoices and job receipts.
8. Reports
Jobs by status, technician output, contract renewals due, revenue, outstanding payments and stock.
AMC and preventive maintenance: where the steady revenue is
For many Indian service businesses, annual maintenance contracts (AMCs) are the difference between a quiet month and a profitable one. They bring recurring revenue, predictable workload and loyal customers, but only if visits actually happen on time.
Software should handle the AMC lifecycle end to end:
- Contract setup: covered equipment, start and end dates, number of visits, value and payment terms.
- Visit planning: visits generated across the contract term and assigned to technicians.
- Visit records: what was checked, parts replaced and the customer’s sign-off.
- Payments: instalments recorded against the contract.
- Renewals: a clear list of contracts expiring soon, so renewals aren’t missed.
Regular maintenance also extends equipment life, which matters as India generated about 1.41 million tonnes of e-waste in 2025–26.
How Rasko does it
Rasko combines leads, online bookings, job cards, AMC contracts (with a visit planner and a payments ledger), inventory, quotations, GST invoices, sales and purchases, returns, delivery challans and reports in one app. Every module is included in the Full plan.
Technicians use the mobile app, and owners with several branches switch between stores from one login. Outside contractors can be given a single job as a service partner, without seeing your customer list.
Service management vs field service management vs ITSM
| Service management | Field service management (FSM) | ITSM | |
|---|---|---|---|
| Customer | Paying external customers | Paying external customers | Internal employees |
| Where work happens | Shop, service centre and on site | Mainly on site | Remote / IT systems |
| Core record | Job card / work order | Work order / visit | Ticket / incident |
| Billing & GST | Built in | Often via integration | Not applicable |
| Inventory & parts | Built in | Van stock / parts | Asset records |
| Contracts / AMC | Built in | Service contracts | SLAs |
| Examples | Rasko and similar SMB tools | Salesforce Field Service, IFS, ServiceTitan | ServiceNow, Jira Service Management |
If most of your work is on site, read our guide to field service management software. If it’s carry-in repairs, see service center software.
Buyer’s checklist for service management software
- One flow, no retyping: enquiry → job → quotation → invoice → payment should be linked records.
- AMC support: contracts, automatic visit plans and renewal tracking, not just a notes field.
- Technician mobile app that works on everyday Android phones.
- GST billing with HSN/SAC codes, credit notes and delivery challans.
- WhatsApp updates to customers, under your control.
- Inventory linked to jobs, with serial-number tracking.
- Roles and permissions so technicians see only what they should.
- Multi-branch support if you have, or plan, more than one location.
- Transparent pricing: no per-module or per-message surprises.
- A real free trial, long enough to run a full billing cycle.
Industry reports expect 2026 to be the year AI-assisted scheduling becomes mainstream in field service. For a small business, though, the biggest gains still come from the basics: one record per job, technicians who update it, and customers who know what’s happening.
