Key takeaways
- Job card software turns the paper job sheet into one searchable record per job, from intake to billing.
- A good job card captures handover details (accessories, condition), the fault, the technician’s findings, parts and prices.
- Notes saved on a job card should not be editable afterwards, so the history stays trustworthy.
- The fastest wins come from linking job cards to stock, invoices and WhatsApp updates.
What is job card software?
A job card, also called a job sheet, service ticket or work order, is the record a repair or service business opens for every job. Job card software replaces the carbon-copy book with a digital record. The whole team can see it, it can be searched by name, phone or serial number, and it can’t be lost behind the counter.
India’s small businesses are formalising fast. More than 7.3 crore enterprises had registered on the Udyam portal by December 2025, according to the Ministry of MSME. UPI processed a record 21.6 billion transactions in December 2025 alone, per NPCI. Customers who pay digitally and chat with businesses on WhatsApp now expect the same from their repair shop: a proper digital receipt and updates without having to call.
What a job card should capture
| Section | Fields | Why it matters |
|---|---|---|
| Header | Job number, date and time, created by, priority | Unique reference for every conversation about the job |
| Customer | Name, phone, address (for site visits) | Contact and history across jobs |
| Product | Product type, brand, model, serial number / IMEI | Identifies exactly which unit is yours |
| Handover | Accessories received, physical condition, photos | Settles ‘I gave you the charger’ and damage disputes |
| Problem | Reported issues, additional requirements | What the customer asked for, in their words |
| Work | Technician, engineer observations, action taken | What was found and done, by whom, when |
| Parts | Part name, number/serial, quantity, price | Stock accuracy and nothing left unbilled |
| Money | Estimate, advance paid, final bill | No surprises at pickup |
| Closure | Repair status, closing status, delivered to, date | Clean history and warranty reference |
Paper vs digital job cards
| Paper job sheet | Job card software | |
|---|---|---|
| Finding a job | Flip through books | Search by name, phone, serial or job number |
| Status | Ask whoever has the sheet | Visible to everyone, updated from the bench |
| Handwriting | Often unreadable | Typed, with preset options for common issues |
| History | Gone when the book is full | Every past job per customer and device |
| Parts and stock | Separate register | Parts picked from stock on the job |
| Billing | Re-typed into billing software | Job → invoice in one step |
| Customer receipt | Carbon copy, easily lost | Printed slip plus WhatsApp or link |
| Reports | None | Jobs by status, technician, turnaround |
Job card statuses that keep work moving
Statuses turn a pile of job cards into a work queue. Keep the list short enough that everyone uses it consistently. A practical set for most repair businesses:
- Open: received, not yet diagnosed.
- Approval pending: estimate shared, waiting for the customer.
- Part required: waiting on a spare part.
- Repair started: work in progress.
- Send for warranty: gone to the brand or an outside specialist.
- Completed / ready for delivery: fixed and tested.
- Closed: delivered, returned unrepaired, or cancelled.
With status filters you can answer the questions that matter every morning. What’s waiting for parts? What’s ready but not collected? What has been open for more than a week?
Features to look for in job card software
- Fast creation: a new job card in under a minute, with customer search and preset issue lists.
- Notes that can’t be rewritten later: observations and actions are added, never overwritten, each with author and time.
- Inventory link: parts used come out of stock automatically, with serial numbers and prices.
- Print and share: A4 or thermal slip, plus a WhatsApp message or link for the customer.
- One-click billing: turn the job card into a quotation or GST invoice.
- Activity log: every change recorded, so disputes are settled by facts.
- Mobile app: technicians update job cards from the bench or on site.
- Reports: jobs by status, technician output and turnaround time.
How Rasko does it
Rasko’s job card covers everything in the table above. That includes accessories received, default issues and additional requirements chosen from your own preset lists. Engineer observations and action taken are timestamped and can’t be overwritten later. Parts come from inventory with serials and prices.
Job cards print on your chosen template and can be shared as a link. They convert to a quotation, invoice or delivery challan. If you only need job cards, the Jobcards plan costs ₹299 a month.
Switching from paper job cards in a week
- Set up presets: add your products, brands, common issues, accessories and requirements so staff tap instead of type.
- Add staff: give technicians their own logins and roles.
- Go digital for new jobs only: finish existing paper jobs on paper; every new job goes into the software.
- Print the first slips and switch on WhatsApp so customers see the change.
- Review after a week: use the status filter to clear stuck jobs.
